I was up at 7.15am today (unusually early for me!).
I promised Hamza of Encoded I would make sure that we were ready to start work with him first thing today and I wanted to make sure that I fulfilled this promise. (if you make a promise to someone you must make sure that you fulfil that promise on time - if you fail to deliver on a promise, you are then perceived as unreliable)
Today, I will be spending most of my time:
- Finishing off the credit control and sales ledger processes for Encoded & SKFF
- Sending out the first batch of chaser letters for Encoded
- Raising the first batch of invoices for SKFF
- Ensuring the staff allocated to the new contracts are up to speed with processes and requirements etc
I spent all morning putting "processes" together for Encoded & SKFF. SKFF is now up and running and the first batch of invoices were raised and posted by me. I will often get "hands-on" involved at the beginning of a new contract. This is a good way for me to check that the processes I devise actually work. Once I am satisfied that the process works, I then hand it over to a staff member. They then use this process to manage the contract.
Encoded are making a few changes to our standard letter wordings. We will incorporate the changes within our standard letter templates and then do an initial letter run. We will start chasing Encoded's customers by telephone later today/tomorrow.
We received and incorporated the changes to our standard letter text from Hamza of Encoded and the initial letter has been generated and posted today. Our Credit Controllers have also commenced chasing by phone. We do not hang around and pride ourselves on being very efficient and very quick to respond to customers needs. Do you remember in my diary entry of 20th March I shared the following with you:
"Still at the back of my mind though were the 2 customers we had lost 3 weeks prior (one of the losses was due to something very stupid that I did and the other was due to a change of circumstances). We have never lost a client due to poor service"
Well; we got some great news today. The client that we lost is looking to use our services again, albeit in a smaller capacity than before! They are looking for us to chase all of their debts under £150.00.
I need to start getting ready for my meeting at 4.30pm in Ashford with an ex-BNI colleague - Andrew Frisby.
